CONSIDERATIONS: ** When viewing the DataDict information about your database, you may be tempted to edit it. This defeats the whole purpose of DataDict, in that it should be reporting FROM your database and not just displaying information you've typed into an unrelated report. When you find that the information shown through DataDict is not correct, you must fix it in your database and repeat the dictionary generation steps described below. Now when you examine the report in DataDict again, your changes should be shown. This is the only way to make sure your database is documented and correctly configured even without any accompanying documentation (but you know you want to provide that too!). ** The current version of DataDict is tuLVALned for some naming conventions (see end of this document) that affect how different browsing tools function. (The report does not depend upon these naming conventions.) If you are not seeing what you need, DataDict may not be for you at this point. With the note above in mind, feel free to edit the tblFieldDefinition information to alter the display as you see fit when DataDict is not performing for you rather than showing errors in your database that need correcting. ** COMPACT DataDict database periodically to remove traces of earlier activity with the current or previous ObjectDefinition table used to populate the DataDict tool. You can often get better performance from Access and a smaller file, too. LOADING YOUR DATABASE INFORMATION You have to do a few minutes work to use DataDict with your database. Part 1 is done in your database--the one you want to document. Part 2 is done in DataDict itself. Part 1 - within your database. 1. a. If an 'Object Definition' table is in your database from a previous session, delete it. b. Consider Compacting your database before beginning (Menu item Tools/Database Utilities/Compact Database), unless it is so large that would take an unpleasant amount of time. 2. Make sure your database has a 'name' by going to the menu item Tools/Startup, and putting something useful into the field "Application Title:". Click OK when satisfied. This name will appear as the main title of the DataDict report. 3. Select the menu item Tools/Analyze/Documenter. The Documenter dialog appears. 4. Select the tab "Tables", and Click "Select All". 5. Select the tab "Current Database", and Click "Select All". 6. After you have tagged BOTH tabbed items above, Click "OK". 7. When the report appears, select the menu item File/Save as Table. Progress bar activity occurs. 8. When the table is saved a dialog box appears and says "Successfully created table 'Object Definition'.". Click OKLVAL and close the report window. 9. Leave your database open. Part 2 -- within DataDict. 10. Open DataDict. 11. Select the Tables tab and check to see if a table named 'Object Definition' already exists from a previous session. If so, delete it and compact the DataDict database. 12. Now you need to copy the 'Object Definition' table from your database to DataDict. The easiest way is to have both databases open and drag the table from your database to DataDict. Highlight 'Object Definition' in your database and drag to the DataDict tab on your computer taskbar; DataDict's window will open. Position your mouse over the database object and the Tables tab should open (if not already), let go, and the table will be copied. 13. You can now delete the 'Object Definition' table within **your original database***, but leave that database open in case you find something you want to fix. You may also want to delay compacting that database until you've generated the dictionary report that you are satisfied with (and all corrections to your database are completed). You'll work with 'Object Definition' within DataDict now. 14. If the DataDict main menu form is not open, open it by double-clicking on the 'frmDataDictMainMenu' form. 15. Click the button for the menu choice "Refresh Dictionary with new OD". This will trigger the routines that convert the recursive 'Object Definition' table you just copied into DataDict into entries in tblDBDefinition, tblTableDefintion and tblFieldDefinition. If no 'Object Definition' table is found you will be told as much. When it is done, it will tell you that, too. 16. The 'Object Definition' table is automatically deleted after loading in DataDict, but you should compact DataDict to recover the space used for the OD table and other temporary items created/deleted during the generation of the dictionary tables. To see the results of loading your database information, choose either the table browser or LVAL P8@.l N":@h @X @hH @8 @( @ @ @ @ @ 0@4l N":the Preview/Print buttons. Explore the other buttons at your leisure. KNOWN PROBLEMS You must compact DataDict periodically. I usually compact immediately after loading a fresh Object Definition table (which gets deleted by DataDict when done). This is not a problem, but DataDict will grow with the excess space the deleted tables take up. The cover of the dictionary may not have the correct number of 'unique key fields' and 'number of non-key fields', depending upon the naming conventions you use. If you don't like my report, copy tblDBDefinition, tblTableDefinition and tblFieldDefinition to your own database and make your own reports just how you like 'em. ;-) - - - - - - - Note on naming conventions Tessler's Table and Field naming conventions The following naming conventions are used by me and supported completely by DataDict. All tables have a lower-case three-letter prefix: tbl - Main data tables. tds,tdx - domain (lookup) tables (tds - static, tdx - user extendable) tas,tad - associative tables (tas - simple, all keys; tad - adds 'data') Fields: Singular keys (including surrogates) have the root table name plus a suffix of '_ID'. This allows all keys to be easily recognized within tables, and those not sharing the parent table's root name must be foreign keys representing additional information in the relational design. Any field having the same name in different tables *must* have the identical definition and other properties--otherwise it is not the same 'field' and should have a different name. I usually compact immediately after loading a fresh Object Definition table (which gets deleted by DataDict when done). This is not a problem, but DataDict will grow with the excess space the deleted tables take up. The cover of the dictionary may not have the correct number of 'unique key fields' and 'number of non-key fields', depending upon the naming conventions you use. If you don't like my report, copy tblDBDefinition, tblTableDefinition and tblFieldDefinition to your own database and make your own reports just how you like 'em. ;-) - - - - - - - Note on naming conventions Tessler's Table and Field naming conventions The following naming conventions are used by me and supported completely by DataDict. All tables have a lower-case three-letter prefix: tbl - Main data tables. tds,tdx - domain (lookup) tables (tds - static, tdx - user extendable) tas,tad - associative tables (tas - simple, all keys; tad - adds 'data') Fields: Singular keys (including surrogates) have the root table name plus a suffix of '_ID'. This allows all keys to be easily recognized within tables, and those not sharing the parent table's root name must be foreign keys representing additional information in the relational design. Any field having the same name in different tables *must* have the identical definition and other properties--otherwise it is not the same 'field' and should have a different name.
